02

Tour Inquiries & Quotations

Blue Sapphire Travels creates tailor-made and packaged travel itineraries based on the specific dates, preferences, and party details submitted by clients.

  • Non-Binding Estimates: All preliminary quotations, sample itineraries, and route proposals are non-binding estimates provided in good faith.
  • Quotation Validity: Written quotations are typically valid for [14 to 30 days] from the date of issuance, unless otherwise specified in writing.
  • Subject to Reconfirmation: Rates and accommodation allocations are subject to adjustment until a formal booking deposit has been processed and acknowledged.
03

Booking Confirmation & Contract Formation

A legally binding contract between the Client and Blue Sapphire Travels is formed only when:

  1. The final itinerary and itemized cost have been mutually agreed upon in writing;
  2. The required advance booking deposit or full payment has been successfully received; and
  3. Blue Sapphire Travels issues a formal written Booking Confirmation Voucher / Invoice.

Any verbal discussions, tentative inquiries, or WhatsApp chats do not constitute a confirmed booking until the formal written confirmation and deposit receipt are issued.

04

Pricing, Taxes & Currency

Tour prices are calculated based on current tariffs, fuel prices, hotel rates, and government taxes applicable at the time of quotation.

Clearly Stated InclusionsYour written confirmation itemizes all included services (e.g. dedicated private AC vehicle, chauffeur-guide allowances, highway tolls, hotel stays with specified meal plans, and agreed site tickets).
Standard ExclusionsUnless explicitly specified in writing, tour prices exclude international airfare, Sri Lanka entry visa fees, personal travel insurance, alcoholic beverages, laundry, tips/gratuities, and optional excursions.

Statutory Adjustments: If the Government of Sri Lanka or relevant statutory bodies introduce mandatory increases in Value Added Tax (VAT), national park entry tariffs, or fuel surcharges prior to the commencement of your tour, Blue Sapphire Travels reserves the right to pass on the direct cost variance with prior written notification.

05

Deposits & Final Payments

To ensure timely reservation of private transport, professional chauffeur-guides, and boutique accommodations:

  • Advance Deposit: A deposit of [20% to 50% of the total tour package cost] is required upon booking confirmation.
  • Balance Settlement: The remaining balance must be paid [X days prior to tour start date, or on arrival in Sri Lanka as agreed in writing].
  • Accepted Payment Methods: Authorized online credit/debit card payment link via our certified payment gateway, or direct international bank wire transfer.
  • Late Payments: Failure to pay the balance by the agreed due date may result in the cancellation of reservations subject to applicable cancellation fees.
06

Availability & Service Substitutions

All tour bookings, room types, safari jeep allocations, and train reservations are subject to commercial availability.

In the event that an agreed hotel, room category, or activity becomes unavailable due to overbooking, maintenance, or unforeseen circumstances beyond our control, Blue Sapphire Travels will make every reasonable effort to secure alternative accommodation or services of equal or superior standard and category in the same locality without additional charge.

07

Itinerary Changes & Flexibility

While we strive to adhere strictly to your agreed itinerary, travel in Sri Lanka requires reasonable flexibility.

  • Operational & Safety Adjustments: Blue Sapphire Travels and our chauffeur-guides reserve the right to modify routes, departure times, or the order of sightseeing stops if necessitated by adverse weather, monsoon rainfall, landslides, road closures, wildlife safety, or local religious festivities.
  • Guest-Requested Amendments: If you wish to alter the itinerary during the tour, our driver-guide and travel operations team will endeavor to accommodate your requests, provided such changes are logistically feasible and any additional vehicle mileage, entry tickets, or hotel rate differences are settled by the traveler.
08

Accommodation & Meal Plans

Hotel check-in and check-out times are governed by individual property policies (typically check-in from 14:00 and check-out by 11:00 or 12:00 noon).

  • Early Check-in / Late Check-out: Requests for early arrivals or late departures are subject to room availability and may incur additional charges levied directly by the hotel.
  • Meal Inclusions: Confirmed meal plans (Bed & Breakfast, Half Board, or Full Board) will be clearly indicated on your voucher. Beverages and extra à la carte orders are to be settled directly with the property upon check-out.
  • Hotel Rules: Guests are expected to abide by all hotel regulations, quiet hours, and property guidelines.
09

Transportation & Chauffeur-Guides

Blue Sapphire Travels provides private, comfortable, air-conditioned vehicles (cars, micro-vans, or luxury passenger coaches) matched to your party size and luggage requirements.

  • Licensed Chauffeur-Guides: All drivers are experienced, licensed by the Sri Lanka Tourism Development Authority (SLTDA) or certified tourist drivers, with deep local knowledge.
  • Duty Hours & Safety: For the safety of our guests and drivers, daily driving hours comply with Sri Lankan tourism standards (typically up to 10–12 operational hours per day, concluding after evening dinner drops).
  • Vehicle Maintenance: All vehicles undergo routine safety inspections, are comprehensively insured for tourist passenger transport, and include fuel, highway tolls, parking fees, and driver meals/accommodation.
10

Traveler Responsibilities & Conduct

To ensure a harmonious, culturally enriching journey, all travelers are expected to:

  • Punctuality: Adhere to agreed departure schedules to ensure all planned sights and safari game drives can be enjoyed without rush.
  • Cultural Respect & Dress Codes: Sri Lanka is a deeply spiritual country. When visiting Buddhist temples, Hindu Kovils, or sacred sites (e.g. Temple of the Tooth, Dambulla Cave Temple), shoulders and knees must be covered, and footwear and headwear must be removed before entering.
  • Wildlife & Environmental Ethics: Respect wildlife reserve rules, maintain quiet in national parks, avoid littering, and never feed wild animals.
  • Compliance with Laws: Abide by all statutory laws, narcotics regulations, and customs requirements of Sri Lanka.
11

Passports, Visas & Entry Approvals

It is the sole responsibility of the traveler to ensure that all travel documents and entry permits are valid and in order prior to departure:

  • Passport Validity: Passports must possess a minimum validity of at least 6 months from the date of entry into Sri Lanka.
  • Electronic Travel Authorization (ETA) / Visa: Travelers must obtain the necessary tourist visa or approved ETA through official Sri Lankan immigration channels prior to boarding their flight.
  • No Liability for Entry Refusal: Blue Sapphire Travels is not responsible for any traveler refused entry, boarding, or transit by immigration authorities or airlines.
12

Comprehensive Travel Insurance

Mandatory Recommendation

Blue Sapphire Travels strongly recommends that all travelers purchase comprehensive international travel insurance prior to commencing their journey to Sri Lanka.

Your travel insurance policy should provide comprehensive coverage for:

  • Trip cancellation, curtailment, and flight delays;
  • Emergency medical treatment, hospitalization, and emergency medical evacuation;
  • Loss, theft, or damage of personal luggage, cash, and electronic equipment; and
  • Adventure activities such as wildlife safaris, whale watching, surfing, or hill-country trekking.
13

Health, Fitness & Safety

Travelers must ensure they are physically fit for the activities included in their chosen itinerary (such as climbing Sigiriya Rock Fortress or hiking Ella Rock).

  • Medical Disclosures: Clients must inform Blue Sapphire Travels in advance of any pre-existing health conditions, mobility restrictions, or severe dietary allergies so suitable arrangements can be recommended.
  • Safety Instructions: Travelers must follow all safety guidance given by chauffeur-guides, safari trackers, boat captains, and adventure instructors at all times.
14

Blue Sapphire Travels operates as an inbound tour coordinator. In delivering your comprehensive itinerary, we contract with independent third-party suppliers, including airlines, hotels, wildlife jeep operators, national parks, railway services, and excursion providers.

While we carefully select reputable, licensed, and high-quality partners, these third parties are independent contractors. Blue Sapphire Travels is not directly responsible for any acts, omissions, defaults, or negligence of independent third-party providers.

In such events, Blue Sapphire Travels will make every reasonable effort to assist travelers, offer alternative itineraries, or reschedule services in good faith.
